October 2022

Version Enhancements

This section describes the enhancements in ver. January 2022 of Epicflow.

  • Added functionality of Split Assignment for the tasks.

4.     Pipeline

  • Adjusted labeling “Tasks of <project name>” for the Task List page after selection option “Show list of Task”
  • Like the option for Active Projects, we have added “Show list of tasks” option for Inactive Projects as well. That would allow to assign resources to the tasks of Inactive Projects and identify bottlenecks without need to transfer Project into Active area.
  • Future Load Graph at Pipeline page is changed in a way to depict also load created by Inactive Projects. Be aware that this functionality is not available at Graphs or Resource Management pages.

  • Added functionality of Roles’ and corresponding Permissions Import\Export. By default, access to “maintenancePage” is forbidden.

  • Added new columns support at Microsoft Projects synchronization, such as:
    • Project Tags (“Project Tags” column. Allows to assign Tags for the Project. Visible in Project Card)
    • Task, Summary and Milestone Tags (Column “Text27”. Allows to assign tags per item.)
    • Attributes (Column “Text26”)
    • Booking Id (Column “Text29”)
    • Constrained Date (Columns “Date1” and “Date2”)
    • Competences
  • Added support of Generic Users creation directly from Resource Pool. For that must be used “Generic” column. Be aware that flag adjustment won’t change type of the previously created resource.
  • Added functionality to put Task, Summary and Milestone to inactive in Microsoft Projects plan. With it help you can define activities\items that should be ignored at current stage but could be added later without necessity to delete such.

This section describes the enhancements in ver. July 2021 of Epicflow.

  • Have removed Generic Users as a separate item from the Future Load Graph. Any Load created by the task assigned to a Generic User depicted as a load of the Group itself.

  • Have adjusted min size of the Priority column in a way of setting up its width to a three characters.
  • Added depiction of the Budget Allocations for budgeted tasks.
  • Added new view “Meeting view“. It allows to filter out resources to perform their tasks review and their further analysis with the team.
  • Added new functionality to define Extra availability hours for the resource at particular task assignment.

  • Added View settings for the Pipeline page. It allows to configure depiction of Spent & Remaining hours at Gantt chart.

  • Added new type of a UserGeneric User“. In opposite to common user type it can be a part of Multigroup or Group but it has no capacity. In such way you can use it to indicate a “group\sub-group”(type) of resources for the task accomplishment but without direct specification of a particular resource. April - May 2021

Version Enhancements

This section describes the enhancements in ver. April 2021 of Epicflow.

1.    Timesheet

  • For the Historical Load graph we’ve improved Total average calculation for the different Output View mods in a way of adding Capacity average value and separating Total average Output from Total average Spent.

3.    Task List

  • We’ve added a Booking ID feature to the system. Now every project item (Summary, Task or Milestone) can have a special number/code/word that is used as an identifier. It can be added in a Task/Summary/Milestone Card and used later in filters to find necessary items.
  • We’ve implemented a mechanism of Booking ID inheritance by sub-items from a Summary in case if none is specified for them
  • We’ve created Personal Task List tab on the Task List page to let you overview all your individual tasks sorted out by priority that belong to active projects in the system. Personal Task List is set as a default page to be displayed after logging in to the system. 
  • We’ve added a user selection functionality to check out other users’ tasks at the Personal Task List tab of the Task List page.
  • We’ve implemented a Multi-assignment functionality that makes it possible to assign/reassign multiple tasks to resources or resource groups.
  • We’ve improved an approach of resources allocation at task assignment processes. In Resource Allocation advisor added Information block which helps to define Competences and remaining capacity of the required Resource at assignment in accordance to the defined criteria of the task itself.
  • Improved usability of applying changes at Task Card level in a way of adding hotkeys combination for the faster changes saving with a corresponding tooltips depiction.

4.     Pipeline

  • The Booking ID functionality is also available in Pipeline and the QEM. Every project can have a special number/code/word that is used as an identifier and simplifies the search of a certain item with filtering opportunities. You can add a Booking ID for a Project in a Project Card or for Project’s items (Task, Summary or Milestone) in the QEM. 
  • We’ve added an opportunity to hide the remaining and spent hours for the PDF printout to conceal some unnecessary information from the customers. The option to hide the remaining and spent hours is also available in the QEM.
  • Added new field in Pipeline reports to display an information of the last projects synchronization.

  • We’ve added a Group Booking ID feature to the Resource Management page. It serves to identify a Group of Resources and can be set in a Group Card. Similarly to the Booking ID for other items, it can be applied to filter out necessary resource groups.

  • We’ve added Week Numbers in the calendar view, so you can see the numbers of the weeks in every system functionality with the date picker.
  • We’ve also made some Security Policy adjustments.
    • Password Complexity Policy now is based on the following rules:
      • Length – at least eight (8) characters;
      • At least one Non-alphanumeric symbol (such as ` ~ ! @ # $ % ^ & * ( ) _ + – = { } | \ : ” ; ‘ < > ? , . / );
      • At least one English uppercase letter (A-Z);
      • At least one English lowercase letter (a-z);
      • At least one Base 10 digit (0-9)
    • We’ve implemented verification of the password re-use and personal information check upon password change.
    • We’ve adjusted automatic log-out mechanics in accordance with the Account Logout Policy.
    • We’ve applied the mechanism of the Account Lockout Policy upon User authentication.
    • We’ve improved the mechanism of report generation with regard to the applied Security Policy.

Bug Fixes

This section contains the list of the bugs fixed.

  • The bug with the invalid automatic item reordering in the QEM has been fixed. Now, all items in the QEM are ordered automatically. 
  • The bug with the inability to go inside a multigroup on the Historical load graph with an active MG filter has been fixed. Now you can enter a multigroup on the Historical load graph when the MG filter is enabled.
  • The bug with the column ordering removal upon leaving and returning to the Task list page has been fixed. Now when you leave the Task list page and then go back, the items are still ordered by columns.
  • The bug with the inability to save long comments by the “save” button in the summary card when editing has been fixed. Now you can create and edit long comments in summary cards and save them by using the “save” button without any problems. 
  • The bug with the Task List page opening after logging in to the system and an attempt to open the graph in the new tab has been fixed.
  • Indication of the Skills\Competence Format in a different reports types is set in accordance to one standard depiction template.
  • UI reports and reports from report generator are depicted in the same view containing the same set of information.
  • Improved depiction of the Baseline and Business values for the case when user does not have the required permission to view such. “Restricted” label is used for such case.

January 2021

Version Enhancements

This section describes the enhancements in ver. January 2021 of Epicflow.

1.    Timesheet

  • We’ve expanded the list of filters on the Timesheet page that is similar to the Pipeline filtering feature which allows adding and hiding filters to make the Timesheet page as convenient for navigation and work as possible. With the filtering feature, you can focus exactly on the data you need at the moment.
  • We’ve added a task completing & hour registration feature to the Timesheet and Task card.

  • We’ve improved the displaying of the skill drop-down in the Task card. Now it looks more user-friendly and is more comfortable.

This section contains the list of the bugs fixed.

  • The issue with the disappearing of the Cyrillic alphabet in the task card after save has been addressed.
  • The issue with the absence of all picked elements when exporting manual planning to PDF has been fixed.
  • The issue with saving the position of items in manual planning has been fixed.
  • The issue of synchronizing internally created tasks to Jira has been resolved.
  • The issue with synchronization in MS Project which caused incorrect values has been removed. Duration can’t be decreased anymore and Initial Hours can’t be changed anymore.

December 2020

Version Enhancements

This section describes the enhancements in ver. December 2020 of Epicflow.

  • We’ve remade the design so that now the data is divided into three groups: Personal, Group, and Project.

  • We’ve added an “Assignment units” column on the Task List page that is similar to the one in the Quick Edit Mode.
  • We’ve removed the label “Waiting time for resource(s)” from the Summary Card (Pipeline Leveling frame) since it’s not applicable for it.
  • We’ve renamed a parameter “Leveling delay” from the Task Card (Pipeline Leveling frame) to “Waiting time for resource(s)”.

4.     Pipeline

  • We’ve adjusted the behavior of the filter options on the Pipeline page to have its value colored in grey if it doesn’t fit the previously defined parameter.
  • We’ve added group and user tag filters on the Pipeline page.
  • We’ve reworked the design of Quick Edit mode to make it more convenient and clear for the analysis and work.
  • We’ve adjusted the content of the “Waiting time for resource(s)” column on the Quick Edit mode page to have a “none” value set for the items for which this parameter is not applicable (Milestones and Summaries).
  • We’ve added a Warning mark and highlight for the items which cannot be leveled because they have no capacity in the assigned group or resource.
  • We’ve changed labeling “Unplanned work” to “Extra time based on availability” for the Gantt tooltip. This message means that a piece of work was not a part of the previously executed Leveling functionality and was added afterwards.

This section describes the enhancements in ver. August 2020 of Epicflow.

1.    Timesheet

  • We’ve adjusted the way long group names are displayed Timesheet. Now the beginning of the name in the user column is shown with a continuation notation at the end. You can see the whole group name in the left part of the window.

  • If the user assigned to a task doesn’t belong to the group that is supposed to work on it, you’ll see the name of the group marked with the red color. When you hover over the ‘Assignment’ section in the Task Card, you can see the red name of the group as well and the message “Assigned outside the group of the user”.
  • In the reassign pop-up, you can see some changes in the way long group names are displayed. The user column contains just the beginning of the name with a continuation notation. The whole group name is displayed in the left part of the window.

  • We’ve adjusted advanced reports export for those that contain too much data. In this case, the system notifies a user that the number of lines in the report goes beyond the limit and suggests to filter it.
  • In the Quick Edit mode, long group names are now presented in a handy way, too. You can see the beginning of the name in the user column and then a continuation notation. The whole group name is displayed in the left part of the window.

  • Now you can define permission to view individual groups or groups with tags.
  • Now you have an opportunity to switch access to view all groups on graphs, so you’ll see ‘no access’ or ‘view all groups’ options if you have corresponding permission.

  • We’ve changed the layout of icons in the group window. Now all icons are located to the left of the arrows. You can also move arrows to the left of the group name if it’s too long. The star icon denoting a multigroup has been changed as well.
  • Now you can set a primary multigroup for a group. This functionality is togglable.
  • We’ve added a primary group field filter to the Resource Management page.
  • If you have no rights to view a group, you’ll see a primary multigroup instead. If there’s no primary multigroup, you’ll see a non-accessible group.

  • Now there’s a “Skill” filter in Pipeline, so you can specify your search based on resources’ skills to find the most suitable one.
  • From now on, you can see not only the date but also the exact time when any action was made with the project in a Project Card.

  • If you create several tasks inside a summary in Epicflow, they’re added to the end of the summary in MSP and sorted in descending order.
  • We’ve improved the selection of multiple lines in QEM. Now it can be selected from any cell by pressing Shift and left-mouse click.
  • We’ve improved the display of long user names in the info tab of Project Card. Now if the user name is too long, it’s cut and you can see a tooltip.
  • We’ve improved the display of skills drop-down for bottom assignments in Task Card. The position of skill drop-down in Task Card has been dynamically adjusted to make the list of skills fully visible.
  • An item name cell becomes active when you create a new item. So you can easily type the item name with no extra clicks.

  • To indicate the tasks with the switched-on Auto-depletion mode, we’ve added a clock marker-icon at the Timesheet page. It is located to the left of a task name.
  • Besides, we’ve added an error icon at the Timesheet page, which appears if a user exceeds the total hours when editing Spent hour values. So, the icon lets them know about the mistake.

  • We have implemented a Skill Management feature which helps to assign tasks to project team members based on their skills.
  • In the scope of Skill Management, “Required task skills” and “Inherited Skills” items have been added to Task Card.
  • We’ve also added a mechanism of Tag inheritance from parent items. It helps to prioritize and filter tasks at different levels making it possible to focus on the critical and urgent ones.
  • To improve team analysis during daily Stand-ups and black ranges analysis, we’ve added information about completing, deleting, and switching tasks to the progress or on-hold modes. It appears as a hint when hovering over the assignment status in the Task Card or Task status at the Task List page.
  • To control the Task Flow, we’ve added Total Values calculation based on the currently applied filter at the Task List page.

  • We’ve added a sorting functionality to the field “Item ID” in the Quick Edit mode which depicts ID from an MS Project file. It helps to have a Gantt chart visualized in a similar way to the one which you can have in MS Project.

    • At the left of phases container we have “Project phases types: …” description
    • If all phases are hidden the phases container won’t be shown at all
    • New field is added to the Task Card to Phases identification of particular task.
  • Implemented functionality for phases editing, creation, deletion, drag-and-drop and filtering data by phases.
  • Project reopening at any time at Gantt chart will revert settings of any expand and collapse summaries from the previous review.

    • Deletion of the original Project with original MS will make all cloned MS as regular one.
    • Added highlighting of the original MS in all projects where it’s used as cloned MS.
    • Connection points can’t be used for sharing.
    • Auto-calculated MS can’t be used for sharing.
  • Implemented letter indication for the child MS also at MS in Gantt
  • Adjusted warning message to have it similar during deletion of the parent MS and conversion to the connection point.

Version Enhancements

This section describes the enhancements in ver. August .2018 of Epicflow.

NOTE: Text which is formatted in none bold style is a description of functionality which is a part of 02 August release. Text in Bold format is a description of functionality added after that in 30 of August release.

1. Graphs

  • Added functionality to Hide/Move order of groups without having access to RM page for the “All groups” frame.
  • Added filter option to browse all items till group level for the “Historical Load” graph as we have it for the “Future Load” and “Remaining Weeks” graphs. Now you can enter the multi-group and see historical load of any current group.
  • Adjusted algorithm for better tasks progress accomplishment visualization at “Historical Load” graph. Now registered output, on result of “Remaining”, “Spent” and “Total” fields change, will be registered with the task’s priority from the beginning of the working day.

2. Task List

  • A special ID is added for the tasks created in Epicflow.
  • Functionality for the tasks deletion which were added in Epicflow. Possible to perform only for users which have rights to create a task.
  • Not estimated tasks will not effect directly the stages of successor anymore and will be treated by Epicflow system as a connection point only.

3. PipeLine

  • For JIRA import we changed calculation of the start/end date for the future sprint only when detect a new one AND if sprint settings are changed.
  • Added functionality to Hide/Move order of groups without having access to RM page for the “All groups” frame.
  • Changed default range for visualization at Pipeline page. By default system depicts 25% of the past time and 75% of the future time. In case of no future milestones are defined 75% will be set to 2 weeks.
  • For Project imported from CSV or MSP “Project card” will miss “Backlog & new sprint” tab.

  • Group will take a place in alphabetical order after its creation.

6. Import

  • For projects imported from JIRA Start Date and End Date will be defined appropriately to specified parameters from “Start Date” and “End Date” fields at Import page at Step 2 “Scope and Projects”. If such are not specified Start Date will be set to the current date or First milestone of the project (depending on which is more early). As for End Date it will be automatically calculated by the system taking into account amount of work after the last appearing milestone.

  • Added functionality to edit tasks in Epicflow which were imported from the CSV files. Any field updated in the external system will overwrite modified fields in Epicflow. (like task name, notes, predecessors, mh).

    • Implemented selection and dragging of the several milestones at once.
    • Ability to select just several of MSs inside the Grouped MS popup. All MSs can be selected at once by clicking on the grouped MS.
    • Deselection of the milestone is possible by repeated click.
    • Milestone selection is possible only in the scope of one project and on any Milestone selection other projects are faded out.
    • When dragging milestones, all hidden MSs are going to be displayed during this action.
  • To prevent miss-click issues with MS management, projects can only be dragged by their name to/from inactive pipeline.
  • Clicking on the range in the displayed grouped MSs pop-up will also redirect user into MS dialog. (similar behavior to the user’s click on any range between milestones at Pipeline page)

This section describes the enhancements in ver. June.2018 of Epicflow.

1. Graphs

  • For Dashboard graph added total values description of all selected active projects when none of project is hovered. Legend is displayed in the top right corner of the graph.
  • On Dashboard graph page reload slider automatically set to the current day.

2. Task List

  • From now TaskList page preferences (hidden columns, width) are stored in the User Profile instead of localStorage\Cookies. It gives users possibility to have the same Tasklist page configuration in different browsers or on different laptops/PCs for the same account.
  • Changed logic of multiple tasks assignment with next rules:
  • note that on multiple tasks assignment we specify group and resource name which are used further
    • if any of task’s assignment of the selected task already has assigned The Resource (for any of the group) nothing will be changed in it.
    • If all of task’s assignment contains no group that we’ve specified on multiple tasks assignment selection (first line, cell group) nothing will be changed.
    • If any of task’s assignment contains a group that we’ve specified on multiple tasks assignment selection (first line, cell group) and task has empty assignee The Resource will be assigned to it
    • If any of task’s assignment contains SEVERAL groups that we’ve specified on multiple tasks assignment selection (first line, cell group) and we have specified NO additional filter (for resource name) then The Resource will be assigned to the first empty task assignment of the corresponding group.
    • If any of task’s assignment contains SEVERAL groups that we’ve specified on multiple tasks assignment selection (first line, cell group) and we have specified additional filter (Resource name), then The Resource will be replaced accordingly to set criterias.

  • Added functionality of Multiple Milestones selection.
  • On hovering mouse cursor on any of the milestones the menu item “Select MS’s to the right” will be displayed. By pressing of such all milestones to the right from it will be selected for next operations.

This section describes the enhancements in ver. June.2018 of Epicflow.

1. Graphs

  • For Dashboard graph added total values description of all selected active projects when none of project is hovered. Legend is displayed in the top right corner of the graph.
  • On Dashboard graph page reload slider automatically set to the current day.
  • For Dashboard added “Budget view” mode which represents Budget utilization on Lead Time. It’s presented only for users that has corresponding permission.
  • For Dashboard X axes (“Lead Time”) added legend description regard passed days. It will be displayed on hovering over the project.

2. Task List

  • From now TaskList page preferences (hidden columns, width) are stored in the User Profile instead of localStorage\Cookies. It gives users possibility to have the same Tasklist page configuration in different browsers or on different laptops/PCs for the same account.
  • Changed logic of multiple tasks assignment with next rules:

note that on multiple tasks assignment we specify group and resource name which are used further

    • if any of task’s assignment of the selected task already has assigned The Resource (for any of the group) nothing will be changed in it.
    • If all of task’s assignment contains no group that we’ve specified on multiple tasks assignment selection (first line, cell group) nothing will be changed.
    • If any of task’s assignment contains a group that we’ve specified on multiple tasks assignment selection (first line, cell group) and task has empty assignee The Resource will be assigned to it
    • If any of task’s assignment contains SEVERAL groups that we’ve specified on multiple tasks assignment selection (first line, cell group) and we have specified NO additional filter (for resource name) then The Resource will be assigned to the first empty task assignment of the corresponding group.
    • If any of task’s assignment contains SEVERAL groups that we’ve specified on multiple tasks assignment selection (first line, cell group) and we have specified additional filter (Resource name), then The Resource will be replaced accordingly to set criterias.
    • On Group assignment change all Multipgroups in the drop-down list selection will be displayed with start sign.

3. PipeLine

  • Added functionality of Multiple Milestones selection.

On hovering mouse cursor on any of the milestones the menu item “Select MS’s to the right” will be displayed. By pressing of such all milestones to the right from it will be selected for next operations.

  • Added notification icon with the description of the circle relations in the projects and all limitation on update activities for such projects are removed.
  • Changed color for Milestones in the past without remaining time to Gray.
  • On Multiple Milestones selection (context menu on hovering over the milestone) now system allows you to deselect separate milestone(s) from the selected scope by left mouse click on it.

Version Enhancements

This section describes the enhancements in ver. May.2018 of Epicflow.

    1. Graphs
  • Added new element Dashboard for historical overview of project flow.

The dashboard is presented in Bubble graph form, it can help you visually monitor projects’ tendencies and act beforehand when you are still in control to change the situation: redefine the scope or add resources. Bubble graph will show you the size of the problem and the status of all projects.

Navigate to the Dashboard in the menu, all ongoing projects will be presented as bubbles in historical overview up to the previous day. The graph neatly displays the projects’ progress based on lead time and project priority.

The projects with the red circles around them take priority. When you point your mouse on the project, you can see the number of work hours and how much work has been completed.

For a better historical view, Epicflow allows you to animate the flow of your projects. Just press a small play button in the left corner at the bottom and you’ll see how your projects were developed in time.

  • Dashboard Axis values View is adjusted accordingly to other graphs’ types axis view.

The graph displays the projects’ progress based on lead time and project priority.

Axis X Lead Time, it is measured in step by 20 points till 100

Lead Time: How much time passed between project start date and project end date

Axis Y Project Priority, it is measured in step by 20 points till 190

Priority calculates from 0 to 100, after 100 the system add days of delay, with a max of 90 days.

  • Dashboard project size adjustment for the better project’s status representation.

We made projects scale bigger for easier perception and distinguishing each of them.

  • Added “Group assignment” element for the Future Load graph.

Now in the Future Load graph, you can add Group assignment’ tasks and analyze an influence: overload or under-load of the group.

GA: all tasks that are not assigned to any resource, but currently only on the group.

2. Task List

  • New Task Stages.

Now the list of filters consists of next items (column “Stage”):

  1. Completed
  2. Not estimated
  3. Ready to start
  4. Upcoming
  5. Not ready to start

You can sort the tasks and have a clear view on the blockers. So you can proceed with team collaboration for the most critical ones.

  • Added information regard which tasks are blocking for the current one.

If you hover over the stage icon you will see a hint with blocker identification.

  • Added different icons for “Upcoming” and “Not ready to start” task but with the same tool-tip.
  • Note field is editable field

From now you can edit context and add some desription to the NOTE field directly in Epicflow. Please note that these notes are not sync back and remains for this moment only in Epicflow system itself.

3. PipeLine

  • Moving Milestones.

This feature allows you to check in the real-time mode how to adjust planning. You can move the due-dates of milestones and system will show you the result, this way you can find the best schedule for each milestone to finish the project on-time and avoid bottlenecks.

  • Sprint dates of the same sprint is set equal for all projects imported from the JIRA env. as epics from the same Source JIRA Project.

After the data import from Jira, you can easily identify the epics.

  • Added Cancel button for MS date change via dragging.
  • Esc” button behavior is added for canceling the dragging action.
  • Added coloring for the projects in the past if there are some remaining work is left.

Now you can view the status of milestones that were started in the past and continuing in the present.

  • Sorting for the Critical Chains in MS Dialog by Critical Chain color.

If you click on milestones you will see the frame of the critical chains that sort by the critical level: more critical at the top.

  • Reordered chains in the MS popup, so the most constrained is at top.
